Meet in Wales Privacy Notice

Visit Wales is the tourism marketing department of the Welsh Government. Welsh Government is the data controller for the information you provide when completing newsletter sign up forms on the website and will process it as part of undertaking our duties in promoting and supporting the tourism sector in Wales.

Newsletter Subscription

When you complete your details on the Meet in Wales newsletter subscription form and opt in to receive the Meet in Wales newsletters, you provide your consent for Visit Wales to use your personal information to administer your email account and provide any products and services you have requested from us.

We will send you news and information that we feel will be of interest to you from time to time about Wales as a business events destination including new venues, itineraries, team building ideas and events you may be interested in depending on your role, company type and location.

Ambassador Wales Network

Purpose for collecting the personal data

The ambassador Wales Network Group including the ambassador working industry group from universities, regions and venues in Wales has been set up to promote our academic strengths aligned to Welsh Government key sectors with the aim to attract mor international conferences to Wales and promotion of Wales through the ambassador network. In order to receive information and support from Welsh Government and its promotional team including Visit Wales, Meet In Wales contractors aligned to the ambassador programme delivery and promotion and members of Event Wales team, we will need to collect and process some information about you.

Welsh Government will use your information to provide ongoing support, grant funding requests and business opportunities which might be of interest or benefit your company. We undertake this in order to fulfil our public task to support and promote the Welsh tourism sector. Welsh Government will be the data controller for personal data detailed in this notice. A core part of our function is to facilitate, promote and aid in selling the tourism and business events products and services in Wales. The level of support could include; advice, information, guidance and possibly introductions or referral service if it’s relevant to other individuals and businesses. We will continue to send you news and information, minutes and recordings of any ambassador network meetings and educational sessions and engage with you as a member of the network.

Information collected will include:

Individual names, job titles, business address, contact information (including telephone, e-mail addresses and website) and information about your business area, including the business type and key sector interests. It will also include details of previous meetings and interactions with Wales and information on the prospective events for Wales.

Following industry standard practice when you unsubscribe, your email address will be retained on a system suppression list to ensure you no longer receive emails from Visit Wales. We regularly refresh our mailing list and will remove your details from our system if you do not open any of our emails sent to you over a three-year period.

Event Wales / Meet In Wales Webinars - Microsoft Teams Recording Privacy Notice

How we use your information and with whom we share it

The Welsh Government values holding live meetings, as these help strengthen engagement with tourism sector stakeholders. However, we recognise that the way businesses now operate means not everyone can join these live Business Events updates and Microsoft Teams meetings. To ensure all stakeholders can access the information, we will record each session and make the recordings available to members of the Business Events Ambassador Group or associated ambassador and tourism industry groups, where the recording will support education and further develop successful conference bidding processes for Wales

If you choose to take part in a live interactive session please be aware that your likeness and voice data may appear on screen and your name will be visible. If you do not wish to appear in recordings, ensure that your video and/or microphone are turned off in the software.

Lawful basis for processing

The Welsh Government will be the data controller for the personal data you provide to participate in this event. The information will be processed as part of our public task and the official authority vested in us to undertake the core role and functions of the Welsh Government.

Stakeholders should be aware that recordings are subject to the Freedom of Information Act.

We will not share recordings wider than the Ambassador group, Wales tourism industry engaged in business events, and wider ambassador groups unless we are required to do so by law (e.g. FOI Act).

We use Microsoft Teams for online events. Details of the MS Teams privacy notice and security policies are available at the Microsoft Trust Centre.

Meet In Wales business clients

Section 1 – Purpose for collecting the personal data

In order to receive information and support from Welsh Government and its promotional team including Visit Wales, Meet In Wales and Event Wales team, we will need to collect and process some information about you. Welsh Government will use your information to provide ongoing support, grant funding requests and business opportunities which might be of interest or benefit your company. A core part of our function is to facilitate, promote and aid in selling the tourism and business events products and services in Wales. The level of support could include; advice, information, guidance and possibly introductions or referral service if it’s relevant to other individuals and businesses.

We may also use your personal data to contact you to help us monitor the state of business coming to Wales to evaluate and inform policy and future planning.

Information collected will include:

Individual names, job titles, business address, contact information (including telephone, e-mail addresses and website) and information about your business, including the business type and key sector interests. It will also include details of previous meetings and interactions with Wales and information on the prospective events for Wales.

Section 2 – Sharing the data

Your company details may be processed by relevant Welsh Government departments and shared with third parties delivering services on behalf of Welsh Government. Your information may also be shared with other businesses and stakeholders solely for the reasons stated in this notice and where applicable they will respond direct to your queries. or for introductions and referrals as stated in this notice if relevant to your services.

Potential referrals may involve one or more of the following,

To other public bodies and Welsh Government Departments. e.g. Welsh Government International Offices, Business and Regions, Trade and Invest, finance and grant funding departments where applicable;
To external Wales industry stand partners who are exhibiting at a live or virtual exhibition or show alongside Meet In Wales representing Wales on behalf of the Welsh Government (stand partner details will be listed on the Wales information page for the event).
To external providers delivering support services contracted by Welsh Government. e.g. VisitBritain, to deliver on territory support.
To other businesses and relevant stakeholders to facilitate supply chain opportunities and business development.
The information collected will also be used by the Welsh Government to monitor business to Wales, influence policy and future planning. As such your business details will be shared with organisations contracted by Welsh Government to solely undertake research and evaluation.

Section 3 – Information Retention

All information you provide will be stored securely on servers located in the United Kingdom and used in full accordance with the UK General Data Protection Regulations, the EU General Data Protection legislation and the Data Protection Act 2018. Any information required to be shared will adhere to the Welsh Government’s Data Sharing policy and industry best practice.

Your details will be retained by Welsh Government for 7 years after last contact in line with Welsh Government Records Management & Retention Policy ‘To promote ongoing economic development opportunities’

Individual Rights

You have the following rights:

Access to the business data that we are processing about you;
Require us to rectify inaccuracies in that data;
The right (in certain circumstances) to object to or restrict processing;
The right (in certain circumstances) for your data to be anonymised;

Meet In Wales industry partners

When you register to become a Visit Wales / Event Wales / Meet In Wales industry partner either by:

• Signing up to the Meet In Wales industry newsletter or request to receive minutes of any business events industry recorded meetings or minutes of meetings
• Booking as a partner on a Visit Wales stand at our business to business events or on a Wales stand at supplier events
• Supply services for familiarisation visits
• Self register as a Wales supplier for business events on our website
• Industry representative for Event Wales/ Meet In Wales either on the generic Industry group meetings and business events product lead, and or as a representative for a specific group for Business Events, including but not exclusive to The Ambassador Wales Conference Group or Event Wales Industry Advisory Group

We collect personal information from you. This information is required for the purposes of the exercise of our official authority. Our function as a Welsh Government is to market and promote Wales to the UK and overseas as a business events friendly destination. A core part of our function is to facilitate, promote and aid in selling the business events products and services in Wales, in so doing promoting Welsh businesses. Therefore the personal information we will collect includes:

• Your company business name and job title and any other colleague names e.g. additional delegates, or colleague nominated to receive information in your absence
• Contact telephone number, email address and emergency contact information where applicable such as event attendance on a Wales stand.

We process this personal information in the following ways:

In order to fulfil bookings on the stands or to fulfil familiarisation visit bookings and handle business requests
To send you any recordings of our scheduled business events industry teams meetings
To inform and give you the opportunity to be an Event Wales/ Meet In Wales Industry Partner at future events Event Wales/ Meet In Wales are attending
To request images, content news stories and other content to support promotion of Wales for Business Events or Event Wales• We will provide your details on to potential business clients interested in bringing business to Wales
Following events or meetings with potential Wales business clients, a member of the Event Wales/ Meet In Wales team will contact you with any follow up enquiries from events relevant to your company in order for you to follow up directly with the client
Where we work with you directly with other Welsh Government departments aligned to your product such as but not exclusive to Business Marketing and Tourism Marketing, or through a contractor to support business delivery, such as, but not exclusive to; event management services, Business Events Wales Ambassador Conference Programme, educations and skills, familiarisation visits, PR companies, research companies etc, we will provide your details to an assigned contact within the company for direct contact. Contact can be made either by email, telephone, online meetings or in person to liaise with you for planning, engagement, and meetings as part of the business requirement area.
We will provide your details to a third party research company in order to provide research statistics and information to the Welsh Government which will influence policy and future planning
If you have attended a Business-to-Business event with us, we will send you a post event survey to complete, which will be used to influence future decisions for Wales delivery work including event presence
We will use the details you provide in the reporting templates we provide to you to regularly measure and track business developed which is directly associated with event attendance or familiarisation visit inclusion as part of the Event Wales/Meet in Wales delivery programme
Unless other arrangements have been made with the Welsh Industry the above companies will destroy personal data at the end of the contract terms.

If Event Wales/ Meet In Wales is not the main event organiser then your information will be passed to third party event organisers and stand holders to fulfil bookings; this will be stated on event booking forms. Where you, as an Event Wales/ Meet In Wales industry partner, have agreed to be included in a familiarisation visit either run by Event Wales/ Meet In Wales or a third party contractor/ organiser such as VisitBritain then we will pass on your contact details in order to fulfil bookings. No personal information about individuals working in companies will be shared with any 3rd party organisation that is not associated with the work being carried out by Event Wales/ Meet In Wales as detailed above.

We will hold the details on a secured server for 10 years after the last contact had with you. Event Wales/ Meet In Wales, as part of the Welsh Government has a legal obligation to keep audit trails of Wales industry partners who attended events which will be used as evidence on attendance by the industry when providing reports to support and identify the value on public spend which are/ or could be in the public interest.

You have the right to access the personal data we are processing about you, rectify inaccuracies, in certain circumstances object to processing or erasure of your data and lodge a complaint. We will update your personal details as you provide us with new information.

Meet in Wales Global Tourism Marketing and Product Distribution

Introduction/Background
Welsh Government (Visit Wales) are supporting the Welsh tourism industry by seeking to raise awareness of the services available to promote businesses in the sector. Visit Wales have contracted North Wales Tourism for and Mid Wales Tourism to carry out a communications exercise on its behalf.

If you decide to promote your business through these services, it may require the processing of some personal data about you in order to:

Stay in contact with you and discuss whether the opportunities are right for your business
If you wish, refer you to 3rd parties who can help promote your business through their services (e.g. https://www.txgb.co.uk/)
If you wish, refer your information to Visit Wales to promote your business through their services

The Welsh Government will be Data Controller for personal data processed for these purposes. If you choose to be referred to a 3rd party service provider you are advised to familiarise yourself with their specific privacy policies.

What personal information do we need to process?
If you engage with Welsh Government and its promotional team including Visit Wales, Meet In Wales and Event Wales team, we will need to process your name, contact email and telephone number. We will also need to know information about your business to ensure we can provide you with effective support.

What is the Lawful Basis for processing?
Your personal data is processed as part of Welsh Government’s public task; that is, exercising our official authority to undertake the core role and functions of the Welsh Government to support and promote the Welsh tourism industry. Whether you choose to engage with this marketing and communications exercise to promote your business is completely voluntary.

How long will we keep your personal information?
The Welsh Government will keep your personal information for a period of 1 year after you have concluded your engagement with us. If you are referred to a service provided by Welsh Government you are advised to refer to the Privacy policies for that specific service as these may vary.

Sut rydym yn defnyddio'ch gwybodaeth a gyda phwy rydyn ni'n ei rhannu

Mae Llywodraeth Cymru yn gwerthfawrogi cynnal cyfarfodydd byw, gan fod y rhain yn helpu i gryfhau ymgysylltiad â rhanddeiliaid y sector twristiaeth. Fodd bynnag, rydym yn cydnabod bod y ffordd y mae busnesau bellach yn gweithredu yn golygu na all pawb ymuno â'r diweddariadau Digwyddiadau Busnes byw hyn a chyfarfodydd Microsoft Teams. Er mwyn sicrhau bod yr holl randdeiliaid yn gallu cael mynediad i'r wybodaeth, byddwn yn recordio pob sesiwn ac yn gwneud y recordiadau ar gael i aelodau o'r Grŵp Llysgenhadon Digwyddiadau Busnes neu grwpiau llysgenhadon a grwpiau y diwydiant twristiaeth cysylltiedig, lle bydd y recordiad yn cefnogi addysg ac yn datblygu ymhellach brosesau Cymru ar gyfer cynnig yn llwyddiannus am gynadleddau.

Os byddwch yn dewis cymryd rhan yn y cyfarfod, byddwch yn ymwybodol y gallai eich llun a'ch llais ymddangos ar y sgrin a bydd eich enw'n weladwy. Os nad ydych yn dymuno ymddangos mewn recordiadau, gwnewch yn siŵr bod eich camera a / neu feicroffon wedi'u diffodd yn y feddalwedd.

Y sail gyfreithiol ar gyfer prosesu

Llywodraeth Cymru fydd y rheolydd data ar gyfer y data personol a ddarperir gennych er mwyn cymryd rhan yn y digwyddiad hwn. Byddwn ni'n prosesu'r wybodaeth fel rhan o'n tasg gyhoeddus a'r awdurdod swyddogol a freiniwyd ynom i gyflawni rôl a swyddogaethau craidd Llywodraeth Cymru.

Dylai cyfranwyr fod yn ymwybodol bod recordiadau yn ddarostyngedig i'r Ddeddf Rhyddid Gwybodaeth.

Ni fyddwn yn rhannu recordiadau ehangach na'r grŵp Llysgennadon, diwydiant twristiaeth Cymru sy'n cymryd rhan mewn digwyddiadau busnes, a grwpiau llysgenhadon ehangach oni bai bod yn ofynnol i ni wneud hynny yn ôl y gyfraith (e.e. Deddf Rhyddid Gwybodaeth).

Rydym yn defnyddio Microsoft Teams ar gyfer digwyddiadau ar-lein. Mae manylion polisi preifatrwydd a diogelwch MS Teams ar gael yn y Microsoft Trust Centre.

Marchnata a Dosbarthu Cynhyrchion Twristiaeth yn Fyd-eang

Cyflwyniad / Cefndir

Mae Llywodraeth Cymru (Croeso Cymru) yn cefnogi’r diwydiant twristiaeth yng Nghymru drwy geisio codi ymwybyddiaeth o’r gwasanaethau sydd ar gael i hyrwyddo busnesau yn y sector. Mae Croeso Cymru wedi gofyn i Twristiaeth Gogledd Cymru a Twristiaeth Canolbarth Cymru gynnal ymarfer cyfathrebu ar ei ran, o dan gontract.

Os ydych yn penderfynu hyrwyddo eich busnes drwy’r gwasanaethau hyn, mae’n bosibl y bydd angen prosesu data personol amdanoch er mwyn gwneud y canlynol:

Cadw mewn cysylltiad â chi, a thrafod ai dyma’r cyfleoedd cywir ar gyfer eich busnes
Eich cyfeirio at drydydd partïon, os ydych yn dymuno, a all helpu i hyrwyddo eich busnes drwy eu gwasanaethau (e.e. https://www.txgb.co.uk/)
Cyfeirio eich gwybodaeth at Croeso Cymru, os ydych yn dymuno, er mwyn hyrwyddo eich busnes drwy eu gwasanaethau

Llywodraeth Cymru fydd y Rheolydd Data ar gyfer data personol a brosesir at y dibenion hyn. Os ydych yn dewis cael eich cyfeirio at wasanaeth trydydd parti, rydym yn eich cynghori i ymgyfarwyddo â’i bolisïau preifatrwydd penodol.

Pa wybodaeth bersonol y mae angen inni ei phrosesu?

Os ydych yn ymgysylltu â Llywodraeth Cymru a’i thîm hyrwyddo, gan gynnwys Croeso Cymru, Cwrdd yng Nghymru a Digwyddiadau Cymru, bydd angen inni brosesu eich enw, eich cyfeiriad e-bost a’ch rhif ffôn. Bydd angen inni gael gwybodaeth am eich busnes hefyd er mwyn sicrhau ein bod yn gallu eich cefnogi’n effeithiol.

Beth yw’r sail gyfreithiol ar gyfer prosesu?

Mae eich data personol yn cael ei brosesu fel rhan o dasg gyhoeddus Llywodraeth Cymru, sef arfer ein hawdurdod swyddogol i ymgymryd â rôl a swyddogaethau craidd Llywodraeth Cymru er mwyn cefnogi a hyrwyddo’r diwydiant twristiaeth yng Nghymru. Mae cymryd rhan yn yr ymarfer marchnata a chyfathrebu hwn er mwyn hyrwyddo eich busnes yn gwbl wirfoddol.

Am ba mor hir y byddwn yn cadw eich gwybodaeth bersonol?

Bydd Llywodraeth Cymru’n cadw eich gwybodaeth bersonol am flwyddyn ar ôl i’ch ymwneud â ni ddod i ben. Os ydych yn cael eich cyfeirio at wasanaeth a ddarperir gan Lywodraeth Cymru, rydym yn eich cynghori i gyfeirio at bolisïau preifatrwydd y gwasanaeth penodol hwnnw oherwydd eu bod yn gallu amrywio.

• Oni bai bod trefniadau eraill wedi eu gwneud gyda'r Diwydiant yng Nghymru, bydd y cwmnïau uchod yn dinistrio data personol ar ddiwedd cyfnod y contract.

Os nad Digwyddiadau Cymru / Cwrdd yng Nghymru yw prif drefnydd y digwyddiad, bydd eich gwybodaeth yn cael ei rhoi i drefnwyr digwyddiadau a stondinwyr trydydd parti i gymryd archebion; caiff hyn ei nodi ar ffurflenni archebu digwyddiadau. Os ydych chi, fel partner diwydiant Digwyddiadau Cymru / Cwrdd yng Nghymru, wedi cytuno i gael eich cynnwys mewn ymweliad ymgyfarwyddo a gynhelir naill ai gan Ddigwyddiadau Cymru / Cwrdd yng Nghymru neu gontractiwr/trefnydd trydydd parti megis VisitBritain, byddwn yn trosglwyddo eich manylion cyswllt er mwyn trefnu archebion. Cwrdd yng Nghymru – Hysbysiad Preifatrwydd Cylchlythyr y Diwydiant

Rydym ni, sef tîm Cwrdd yng Nghymru Croeso Cymru, yn ystyried bod eich preifatrwydd yn fater pwysig. Croeso Cymru yw’r adran o fewn Llywodraeth Cymru sy’n gyfrifol am farchnata twristiaeth.

Os byddwch yn cofrestru i dderbyn cylchlythyr Cwrdd yng Nghymru i’r diwydiant ni fyddwn ond yn defnyddio eich gwybodaeth bersonol ar gyfer gweinyddu eich cyfrif a sicrhau eich bod yn derbyn y nwyddau a’r gwasanaethau yr ydych wedi gofyn amdanynt gennym.

Byddwn yn anfon y newyddion diweddaraf atoch am ddigwyddiadau busnes yng Nghymru, gan gynnwys diweddariadau cyffredinol, cynlluniau, manylion am ddigwyddiadau ac arddangosfeydd, ymweliadau cyfarwyddo a gwahoddiadau i gyfarfodydd y diwydiant y gallech fod â diddordeb ynddynt, gan ddibynnu ar eich swydd, natur eich cwmni a’ch lleoliad.
